POSITION SUMMARY
The Front Office & Administration Officer is responsible for providing ‘Wellbeing’ reception services and administrative to all Wellbeing services (Counselling & Psychological Services, Equitable Learning & Accessibility, Safer Community Unit) across both the Saigon South and Hanoi campuses. The role is required to work closely with other functions across the University and follow up as required with internal and external stakeholders. The role contributes to effective team behaviour as per RMIT Vietnam values.
KEY ACCOUNTABILITIES
- Manage and maintain all reception and administrative tasks of Wellbeing services
- Determine the urgency of student requests and make sound judgements as to which service is most appropriate and whether intervention is necessary
- Manage sensitive information and maintain privacy and confidentiality standards.
- Document and maintain Wellbeing procedures under direction of the Senior Manager.
- Process all Purchase Requests and Payments Vouchers, track budget expenditure, and prepare service and sub-lease contracts.
- Make travel arrangements for Wellbeing staff
- Support to maintain the currency of information on web pages, intranet, student portal and other social media
- Support and participate in University and Wellbeing events
KEY SELECTION CRITERIA
- Relevant bachelor's degree
- At least two years of demonstrated experience in a similar and relevant secretarial and administrative role.
- General knowledge of medical and health issues and vocabulary to support translation.
- Demonstrated high level interpersonal and written communication skills
- Ability to maintain confidentiality and deal with sensitive and difficult situations in a professional and diplomatic manner.
- Ability to critically analyse, interpret or evaluate information.
- Strong organisational, time management, and prioritisation skills, with the ability to work under minimal supervision.
- Ability to display appropriate behaviours in line with the position and RMIT Values.
